The Role

As a Finance & Operations Assistant you will work in the Finance and Operations Team, reporting directly to the Head of Finance. You will play a key role by dealing with people and processes, ensuring that the day-to-day finance and operations run smoothly. Your main responsibilities include providing financial and administrative support to all the departments of Jscrambler in terms of Travel arrangements, expense and supplier verification according to existing policies. We are also in the process of implementing a new ERP that will require the support of a detailed and organized person reviewing historical master data to allow the company to automate the procurement and invoice approval workflow.

What will your day-to-day be like?

Operations

Assist with incoming emails and phone queries with responsibility for efficiently handling incoming communications, and maintaining an organized filing system.
Manage company purchases and business travel arrangements (arranging travel, visas, accommodation, and other logistics needs.
Enter relevant supplier and purchase details onto the database efficiently and accurately
Maintain operations policies and procedures, and ensure they are followed appropriately.
Maintaining and organizing all documents archived, either in digital and/or paper format.
Deal with and resolve queries in a timely and polite manner either by liaising with the internal teams or by reaching out to suppliers and/or partners.

Finance

Liaise with the team to ensure invoice authorization procedures are followed and resolve queries on invoices on hold for payment
Review incoming supplier invoices and expense reports to check if they comply with Portuguese fiscal requirements, internal policies and defined budget
Assist with payment preparations
Undertake Purchases and Supplier reconciliation on a regular basis with the budget.
Support the G&A team in the ad hoc projects

We believe you’ll succeed in this role if you have/are:

Proven ability to focus on detail and ensure accuracy in output.
Bachelor’s degree in management or related and minimum 3 years of proven experience;
Professional and personable manner with excellent communication skills. Must be able to communicate with all levels of management and interact with sales, engineering, HR, and Legal personnel.
Excellent organizational skills, with the ability to prioritize workflow while managing a variety of tasks.
Competent Excel and analysis skills.
Good team working skills
Able to work independently and ask for help/advice where needed
Good English level
