Operations & Guest Experience Coordinator – As Vizinhas (Porto)
We are looking for an Operations & Guest Experience Coordinator to take over the day‑to‑day management of our short‑term rental apartments “As Vizinhas” in Porto and support some administrative tasks for Moodies Interiors, our architecture and interior design studio based in Porto.
About the role
You will be the main point of contact for our guests and operational partners, ensuring a smooth and high‑quality experience from reservation to check‑out. This is a hands‑on position combining hospitality operations, coordination of suppliers and light administrative work.
Key responsibilities
Manage guest communication before, during and after the stay (messages, calls, questions, issues).
Handle reservations, modifications and cancellations through OTAs (Airbnb, Booking.com, etc.) and the PMS.
Keep OTA listings and PMS information up to date (rates, availability, descriptions, photos) and ensure calendars are always synchronized.
Coordinate the housekeeping team: cleaning schedule, check‑in/check‑out calendar, last‑minute changes and quality control.
Organise and follow up on laundry deliveries and pick‑ups for bed linen and towels.
Monitor reviews and guest feedback and propose improvements to enhance the experience.
Support Moodies Interiors with simple administrative tasks (documents organisation, basic data entry, follow‑up emails, appointment scheduling).
Profile we are looking for
Based in Porto or able to work regularly on site.
Previous experience in hospitality, short‑term rentals, property management or guest‑facing roles is a strong plus.
Strong sense of responsibility, autonomy and problem‑solving mindset.
Excellent communication and customer‑care skills, both written and spoken.
Languages
Portuguese: fluent (mandatory).
English: fluent (mandatory).
French: a plus.
Tools & skills
Comfortable using digital tools (email, WhatsApp, shared calendars).
Experience with OTAs (Airbnb, Booking.com, etc.) and any PMS/channel manager is a plus, training will be provided if needed.
Good organisational skills and attention to detail.
