Job description: “Head of Conference Operations”

Do you get excited when thinking about trading companies and connecting the major players in all possible places around the world? In our world buying and selling companies is an everyday event. We talk with Investment Bankers, C-Suite Executives and Fund Managers, and bring them together in 10 conferences across Europe and Asia every year. We aim to host 25 conferences every year, and we are looking for a Head of Operations, to help us realise that.

PE insights is developing rapidly and looking for hardworking talent. So don’t wait any longer to get on board! We are looking for a Head of Operations to join the Private Equity Insights Team based out of Lisbon, Portugal. In this role, you would be responsible for our Operations team, focusing on creating the best conferences every single time, by implementing and streamlining processes and structures.

Key responsibilities:

  • Create overview and structure all operations throughout all our global conferences through excellent project management, standards and measures
  • Cross-functional collaboration with Tickets, Sponsorships and Product
  • Optimise and negotiate all vendors and suppliers, across AV, venues, catering etc.
  • Deliver on stakeholder needs while maintaining a friendly, efficient, positive customer service attitude, towards internal customers and co-workers, and conference delegates
  • Create your own KPI model and deliver results within schedule and on budget, through a focus on excellent reporting and controlling
  • Oversee the execution of the conference on the day through excellent preparation, execution and issue handling to ensure the quality of the conference across teams

Minimum requirements:

  • Energetic, enthusiastic and dedicated personality
  • Solution-driven and result-oriented, with high sense of detail
  • Consider each conference as a project, and be passionate about guiding it to success
  • Experience from working with budgets, setting ambitious targets, and reaching them
  • Be demanding, set high expectations and make it happen
  • We are demanding, so be able to work under pressure
  • Negotiation skills
  • Have exquisite communication skills and strong focus on structure
  • Be able to work independently and keep sight of the bigger picture
  • Be a clear leader, a strong executor, and get your team to follow
  • Fluent in English, other languages are definitely an asset
  • Resident in Portugal or ready to relocate
  • EU passport, as travel is necessary
  • Experience in hospitality and conferences is a plus
  • High work ethic and “whatever it takes” attitude
