As the company is growing, we are looking for an Office Manager to join us for our Lisbon office.

Position summary:

You will be in charge of the day-to-day administrative & financial management. You will have a versatile and key role to support the local teams and will be taking an active part in the smooth running of business. You will have various responsibilities related to classic administrative tasks, sales administration and HR.

Administrative management:

  • Ensure physical and telephone reception services
  • Assuming day to day office duties
  • Making arrangements for the employees business trips
  • Ordering equipment and supplies, checking deliveries and organizing storage
  • Writing administrative correspondence, notes, etc.
  • Managing relationships with our suppliers and ensuring the administrative follow-up
  • Managing the office administration and logistics (badges, car park, etc.)
  • Taking care of the daily paperwork filing (and archiving)
  • Checking employees expenses

Employee administration and HR:

  • Assisting the HR Manager in their duties through employee administration tasks
  • Ensuring the administrative follow-up of new employees information (personal documents, medical examination, insurance, etc.)
  • Following the training of employees
  • Putting payrolls into envelops
  • Making arrangements for trainings conducted in our premises

Required Skills:

  • At least 2 years at a similar position, preferably in the IT industry
  • Independent, rigorous, dynamic and with excellent interpersonal skills
  • A strong sense of organization and priority management
  • Good writing skills and knowledge of office tools
  • Adaptability to new situations
  • Ability to take initiatives and find solutions
  • Discretion is required
  • Fluent in English, both written and oral, the French would be a plus
