We are seeking someone who is a team player, and has a passion for planning, organizing and executing events at a high standard.

Responsibilities include:

  • Pre-show responsibilities
  • Ensure everything relevant to the event has been ordered, processed, shipped, organized and available for when you are onsite
  • Carrying out all pre and post project administration (registrations, hotels, integration of responses into data base)
  • Assist with memos to communicate event information to various teams
  • Complete online exhibitor listings for all tradeshows and events
  • Creation of a tradeshow guide which outlines all the details pertaining to the show
  • Master Event Spreadsheet and Budget Tracker to be updated accurately and at all times
  • Collaborate with graphic designer to update Avigilon events page
  • Collaborate with the social media team to effectively promote events
  • Assist with venue selections and organizing all venue logistics
  • Work closely with various sales regions globally to execute seminars and roadshows
  • Liaise with the sales department to ensure all materials and details of the event are communicated
  • Hiring, managing and training brand ambassadors for various tradeshows
  • Ordering all necessary exhibitor services
  • Onsite responsibilities
  • Onsite event management – executing each event to a high standard
  • Post show responsibilities
  • Coordinate and track invoices and payment for all suppliers and vendors
  • Responses/lead data collection and submitted to the Global Events Manager

Post show recap to Events Manager

  • On-going responsibilities
  • Constantly updating the event work back schedules and ensuring all line items are delivered on time to not
  • jeopardize the due date
  • This is a global role with responsibility to plan, coordinate and implement small to large scale events such as tradeshows and partner parties
  • Internal staff events including seasonal events, parties and product announcements
  • Liaison with internal and external stakeholders
  • Budget management for show/event – ensure we are not over budget

Qualifications:

  • 2+ years of proven experience executing mid to large scale events
  • You’re a do’er and love being in the field
  • Valid passport and ability to travel globally (You have to have a case of the travel bug! Up to 30% travel anticipated in this role)
  • Excellent written/verbal communications skills along with proficiency in Microsoft Office Suite
  • Ability to work events outside of typical business hours
  • Attention to detail, ability to prioritize and a strong sense of organization is a MUST
  • Positive attitude with the ability to rally team members towards a common goal or objective
  • Proven ability to meet deadlines without sacrificing the event
